Guide to Creating an Event (or Tournament)

Over the past few months I have noticed a few players struggling in creating a proper Event experience, and thought I should shed some light on how to properly setup a tournament or other event. The following should greatly improve your chances at your event become a carbon Endorsed Event, BUT there are no guarantees.

Time / Date / Venue
The first and most important thing is Time / Date / Venue, it is imperative that you pick a time for your event that reflects the region best from which you want to host your event from. There are a lot of players that want to optimize for every player across the world, but they will have to met halfway since this is actually impossible since someone in the world will be sleeping somewhere during your event. Some hosts might decide to pick a Venue and do a LAN or other local event to them and that is Great, just be sure to inform all possible players a few weeks ahead of time, this will allow players time to arrange time to participate. DO NOT ALTER YOUR TIME / DATE / VENUE, if you absolutely must postpone the event, make sure to inform all participants prior to the event.
Event Format
Next up you will have to decide what type of Format that your Event will be. Will you have a contest, tournament, or some other type of event? If this event is a tournament will you decide on 3v3, 2v2, or 1v1? Will this game type be PvP, CTF, or a survival holdout contest? How will the bracket for the tournament turn out? Will you have a upper and lower bracket? What about a Qualifer to get into the main event? Will there be Preliminaries to decide the team seeding or will you choose based on past performance of the players?
Rules
Which brings up the next topic of, what type of rules will you need to conduct an orderly event. Make sure to think about what type of organization, rules, and conduct will be needed to be presented at this Event, especially if its at a Venue (ie not the internet). Rules properly posted and described clearly, make it as simple as possible for anyone to easily understand what is trying to be said.
Event Staff / Communication
The next major concern is your event staff, this is your judges, casters, co-casters, hosts, co-hosts, event planners, security, or any other staff you might need for your Event. the biggest thing about this is you will need a dedicated line of communication to keep in touch with all your staff or at least a back-up plan if things get out of hand. Always assume the best AND the worst from an event, and make sure to plan accordingly to fit that into the Event planning.

Prizes
The next thing is the biggest concern, DO NOT POST PRIZES SUCH AS TOURNAMENT CUP / PARTICIPANTS BADGE UNTIL you are approved by Carbon Games. This will just upset players / participants and is not a good thing at all. Although when you list your prizes make sure you know what you will be giving and to which places, there are other companies that will donate prizes to properly setup Events and will give them ahead of time if you register on their sites, with details of your event and if you follow their guidelines (Usually involves some casting / showing off of which players won the prizes, and other pictures / videos of the event).
Breaks / Time to Rest
When planning the games / matches, make sure you do not overwork the players. Remember everyone wants to participate and have a good time, having a team play a bunch of games in a row without a short 2-5min break to get a drink / go to bathroom, is not a very humble way to go about hosting your Event.
Participant Commitment
One of the last of the major concerns relates to players and their commitment level, do not assume because a team signs up for your Event that they will actually show-up, make sure to have a few back up teams in place, just in case the teams in question do not show up at all.
Time Frame
And the final and one of the most important concerns that matches up with the first, allow your participants to know the estimated time of how long your Event will last. This can range from giving the shortest to the longest, or just the longest time frame. This allows the participants to know exactly how much time they will need to commit on the day(s) of the Event.
Conclusion
In conclusion, in order to make an Event (or Tournament) some of the basic guidelines to follow are:
  • Time / Date / Venue
  • Format (3v3 / 2v2 / 1v1 / best of 3/5/7/9 etc / how many brackets)
  • Rules properly posted and described clearly (make it as simple as possible for anyone to easily understand what is trying to be said)
  • have a staff (judges, casters, etc) ready with a dedicated area to communicate with each other (Steam, twitch, skype, mumble, etc)
  • Inform players of the prizes that they can win and at what place they can earn them; DO NOT POST PRIZES SUCH AS TOURNAMENT CUP / PARTICIPANTS BADGE (until you are approved, do not assume the devs will just grant access to these types of prizes)
  • Allow ample time between each teams match for a short break (2-5mins) for the same team (do not run the same team back to back 8 games in a row)
  • Give your participants an estimate of how long your tournament might last (give short/longest estimates, so the players can plan accordingly)
  • inform your participants - never assume they will show up (always have a backup plan / team to replace them)
